Manager Office Hours: Creating Predictable Access to Leadership
Manager office hours are recurring periods when employees can bring questions without arranging a separate meeting. They can improve access when the purpose, privacy boundary and follow-up are clear.
Choose a format that fits the team
Set a predictable time and location or video link, considering shifts, time zones and accessibility. Large teams may use rotating sessions or short bookings. Attendance should not be the only way to obtain manager support.
Explain suitable topics
Office hours work well for clarification, ideas, priorities, career questions and early problem-solving. Performance warnings, health details, grievances and other confidential matters need a private scheduled route.
Protect fairness
Do not let frequent attendees receive better assignments or inside information. Publish material answers and decisions through the normal team channel where appropriate. Notice who cannot attend and offer alternatives.
Listen before solving
Ask what the employee needs, clarify the issue and avoid making commitments without facts. If another owner is required, name the handoff and follow through rather than telling the employee to search elsewhere.
Keep light records
Note actions, owner and date, not a detailed personal transcript. Move sensitive information into the authorised process. Recurring questions can reveal unclear communication or a broken workflow.

A hybrid team uses a weekly 45-minute drop-in plus a monthly early session for another time zone. When several employees ask who approves training, the manager publishes the decision route instead of answering privately each week.
Review whether access improves
Consider participation across groups, repeated topics, actions completed and whether normal one-to-ones remain effective. Empty sessions may mean the timing is wrong, the purpose is unclear or employees do not feel safe; they do not automatically show that support is unnecessary.
End or adapt when needed
Office hours are a practical access tool, not a permanent ritual. Change the schedule, add booking privacy or stop the format if another route serves the team better.
